Information for authors and participants

Changes 2026

During the 2025 meeting, a couple of decisions were taken:

- The proceedings will be Print-On-Demand only. 

- Each paper will receive a DOI.

- New templates will be generated.

- The time for presentations is reduced to 18 min. After 20 min, the chairman will interrupt the presentations irrespective of where the speakers are.

- Presenters of notes have a maximum of 10 min. These 10 min may be used for the presentation. If the presentation is shorter, Q&A will follow the presentation until the 10 min are full.

- As soon as the papers have arrived, each paper will be distributed to one colleague who has the task to carry out a review. Obviously, all participants are invited to read the papers in advance.

 

Call for abstracts

Each year, the call for abstracts will be sent by mid-January. The call will contain precise information concerning expected content and deadlines. 

 

Deadlines

The deadlines for abstract and full paper submission remain the same in every year.

Abstracts must be submitted by the end of February.

Full papers must be submitted at the end of the third week in July. The exact deadline will be communicated in the call for abstracts.

There are no guidelines for the format of the abstracts (maximum two pages A4). The template for the papers may be used.

 

Peer review process

The submitted abstracts will be reviewed. The authors will be informed about their acceptance 6-8 weeks after abstract submission.

 

Guidelines for papers

Papers arriving too late will not be accepted. Please inform us immediately if you are not able to finalise your paper in time.

Papers with more than 18 pages will not be accepted.

Guidelines for the presentation

In order to achieve a good meeting and to enable fruitful discussions, the speakers are kindly asked:

  • to keep the presentation within the time constraints (max 18 min). After 20 min, the presentation will be stopped.
  • to keep in mind that everybody has had the possibility to read the paper in advance. Long introductions are not necessary. Discuss only major points in detail if necessary.
  • to prepare powerpoint sheets which are clear and can be read by everybody (sufficient font size, clear diagrams).

 

Notes

At the end of our meeting, we will have a session called “Notes”. A maximum of ten minutes per note are foreseen. The authors may use these 10 minutes to present the note or if they keep the presentation shorter, the remaining time is used for Q&A. The notes will be included in the proceedings. Notes may have a maximum of four pages. Please send your note (Email) at least one week before the meeting. Notes will also be available for download.
